If we've emailed you out of the blue

You've had an email from Mike Chilton at JTM Workplace that you didn't ask for. This page tells you where your details came from, what we do with them, and how to make it stop.

Who are we?

JTM Workplace is a trading name of JTM Chilton Ltd, registered in England and Wales, no. 16473640. Our registered office is Suite A, 82 James Carter Road, Mildenhall, IP28 7DE. We're registered with the Information Commissioner's Office, reference ZC252128. We decide what happens to your details, which makes us the controller.

Where did you get my details?

Your email address came from your company's own website. We didn't buy a list, and nobody passed your address to us.

What do you hold about me?

Your work email address, as your company's website shows it, and the few lines of that page around it. The rest is about your company, not you: what it does, where it is, roughly how big it is, and when it's open.

If you reply, we keep what you send. If you send us documents for a free Evidence Check, we keep those too, for the time set out below.

We don't hold anything about your life outside work.

Why did you email me?

To tell you about the new duties on employers covering harassment by third parties, and to offer a free check of your company's documents.

We send one email. If you don't reply, you won't hear from us again about it.

What gives you the right to?

The law calls it legitimate interests. Your company is one this change affects, it publishes your address for people to get in touch, and we sent you one short email about it. We think that's something you'd reasonably expect, and we've written down why and weighed it against your interests. Ask and we'll send you a copy.

Who else sees my details?

Only the companies whose services we use to do this:

Mike approves every email before it's sent.

We don't sell your details, and we don't pass them to anyone for their own marketing.

Do my details leave the UK?

Our database is in London. Railway runs in the Netherlands, which UK law treats as giving the same protection as here. Google and Anthropic may handle your details in the United States, and the companies that run our database and hosting may reach it from abroad to support it. Where any of that happens, it's covered by contract terms the Information Commissioner has approved, which each company builds into its business terms.

Is anything decided about me automatically?

Nothing that affects you. A person decides who we email and approves every email before it goes.

How long do you keep it?

How do I make it stop?

Reply STOP to our email, or write to enquiries@jtmworkplace.co.uk in any words you like. We stop straight away, and you don't need to give a reason.

We keep your email address and the date you asked. That's the only way to make sure we never email you again.

What we can't do is take you out of the public sources. Your details stay on your own website and at Companies House until you or your company changes them.

What else can I ask for?

You can ask us for a copy of what we hold about you. You can also ask us to correct it, delete it, or stop using it while a question about it is sorted out. Write to enquiries@jtmworkplace.co.uk. We'll reply within a month.

If you're unhappy with how we've handled your details, tell us first. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
